THE BRIEF
In Summer 2022, I designed and delivered a 3-day glamping festival in Northamptonshire, bringing together 250 team members from 33 different countries.
The event was designed to foster connections between team members, many of whom had never met in person.
With just 3 months to plan, my mantra was no forced fun, ensuring that the activities and atmosphere encouraged natural bonding rather than obligatory participation.
Sustainability was a core principle, with the entire event being plastic-free, and we offset the carbon emissions for both the event’s production and participant travel.
THE CHALLENGE
The key challenge was managing the logistics of bringing together a globally dispersed team in a short timeframe while adhering to our company’s commitment to sustainability.
This included:
Coordinating travel and visa arrangements for 250 people from 33 countries.
Creating an inclusive, welcoming, and eco-friendly environment for all attendees.
Balancing structured activities with ample downtime to foster organic team bonding.
Ensuring high standards of health, safety, and environmental responsibility throughout the event.

FINDING THE RIGHT PARTNERS
I collaborated with Soul Camp, specialists in nature- focused events, to deliver an eco-conscious, soulful glamping experience. Their expertise helped us align the event with our sustainability values.
ACTIVITY AND SPACE PLANNING
I curated a range of activities that encouraged engagement without being forced, including whittling, football, archery, foraging, and yoga. Chill-out spaces and a central fire pit provided areas for relaxation and casual conversation, while a cocktail/mocktail bar, DJ, and dancefloor created a fun social atmosphere in the evenings.
INTERNATIONAL TRAVEL AND VISAS
I personally oversaw all travel logistics, including flights and local transport, ensuring we stayed within budget, attendees had seamless journeys and that all visa requirements were met in advance.
HEALTH AND SAFETY
I placed a strong emphasis on health and safety, with first aiders and safety officers appointed. Clear communication was provided to all participants about whom to approach if they felt uncomfortable at any point and we had security guards on site.

PLASTIC FREE PARTY
I made it a priority to ensure the event was completely plastic-free. From catering supplies to the bespoke swag, all materials were sustainably sourced and environmentally friendly.
CARBON OFFSETTING
Recognising the environmental impact of bringing people together from around the world, we offset the carbon footprint for both the event’s production and all travel arrangements. This commitment to reducing our environmental impact aligned with our company’s broader ESG goals.
BESPOKE MERCH CURATION
I curated sustainable, custom swag that was thoughtful, high-quality, and reflective of the event’s values. The items were designed to be reusable and environmentally friendly, aligning with our goal to minimise waste.
COMMUNICATIONS STRATEGY
I crafted all internal communications, keeping the team informed of travel logistics, event details, and sustainability efforts. Clear and concise updates ensured everyone felt prepared and aligned with the event's purpose.
I delivered key messages via video conference, slack, and a dedicated intranet space, provided a comprehensive Q&A and ensured we had a way of communicating with and updating all attendees before, during and after the event.
OUTCOME AND KEY TAKEAWAYS
The event was a massive success, with a post-event survey scoring it an impressive 9.8/10. Attendees praised the magical atmosphere, variety of activities, and relaxed, welcoming environment. The event successfully brought together a global team while achieving its sustainability goals through carbon offsetting and zero plastic waste. It became a benchmark for future team-building events that balanced operational excellence with environmental responsibility.
